The Ultimate Timeline for Ordering Wedding Stationery: When to Send Each Piece

Planning a wedding can feel overwhelming at times, and for many couples, figuring out the timing of each piece of wedding stationery can be especially tricky. From save-the-dates to thank-you notes, each element has an ideal order date to ensure a smooth planning process and stress-free delivery. Here’s a simple guide to help you stay on track with your wedding stationery timeline.

1. Save The Dates | 6 to 12 Months Before the Wedding

Save-the-dates are the first glimpse your guests will have of your wedding, and they’re especially helpful for guests who live further a field who need to make travel arrangements. For destination weddings, we recommend sending them out around 10 to12 months in advance to give everyone ample time to plan. For local weddings, 6 to 8 months in advance should be sufficient.

It's a good idea to start working on your save-the-dates as soon as you’ve finalised your guest list and booked your wedding venue. For bespoke designs, it’s best to place your order at 6 – 8 weeks before you plan to send them, this allows plenty of time for final tweaks.

2. Invitations | 4 to 6 Months Before the Wedding

Your formal invitations set the tone for the entire wedding, so they should be designed with this in mind. Aim to order your invitations 6 to 8 months before the wedding to allow enough time for production and any revisions. Most couples send out their invitations around 4 to 6 months before the wedding date. If you have skipped the Save The Dates and are going straight to the wedding invitations, then we would advise sending your invites closer to the 6 month mark to give your guests enough notice.

For destination weddings, consider sending invitations 6 months ahead to give guests additional time. If you’re having a local wedding, we usually advise for couples to find out when they need to find out final numbers for the caterers and then to work back from there. 4 to 6 months in advance usually works well for most people. This timing allows guests to RSVP comfortably without feeling rushed, and it gives you enough time to gather responses.

3. RSVP Cards | Send with the Invitations

When you order your invitations, be sure to include RSVP cards or a way for guests to RSVP online if you’re going digital (QR Code is a popular option). RSVP cards are essential for getting an accurate guest count for catering and seating.

Ask guests to RSVP about 6 to 8 weeks before the wedding date to give yourself time to follow up with anyone who hasn’t responded. This timeline also provides enough time for your caterer and venue to finalise numbers without last-minute changes. If you’re including a meal selection, this extra time can be especially helpful.

4. On the Day Stationery | 1 to 2 Months Before the Wedding

On the Day Stationery includes items like welcome signs, order of events cards, table numbers, name place cards, seating plans, and menu cards. These pieces enhance your guests’ experience and add a personal touch to your big day. Keep them along the same theme as your invitations to really bring the wedding theme together.

Place your order 1 to 2 months before the wedding. Make sure you have finalised the guest list, seating arrangements, and meal choices before ordering. That way, you can avoid any last minute adjustments.

5. Thank You Cards | Within 3 Months Post-Wedding

Thank you cards are a lovely way to show gratitude to your guests, but they can often feel like an afterthought. To make it manageable, consider ordering thank you cards when you order your invitations, so they’re ready to go. Start sending thank you cards as soon as you begin receiving gifts, especially if they arrive before the wedding.

Aim to have all your thank you cards sent out within 3 months after the wedding. This timeline shows your appreciation in a timely manner without putting too much pressure on you as you settle into newlywed life.
